The short answer

Mac Dictation usually fails for one of five reasons: Dictation is switched off, Voice Control is on (which replaces it), the shortcut is not the one you are pressing, the wrong microphone is selected, or your language needs an internet connection and you have none. All five are in System Settings → Keyboard, under Dictation, except Voice Control, which is in Accessibility. Flit, a local dictation app for Mac, is a separate way to dictate: you hold a key and speak, and finished text lands in any app, with nothing sent anywhere.

## How to fix dictation on a Mac

1. Open System Settings → Keyboard and scroll to Dictation. Turn it on, and click Enable if asked.
2. Open System Settings → Accessibility → Voice Control. If it is on, turn it off. Apple says that while Voice Control is on, standard Dictation is not available.
3. Back in Keyboard → Dictation, look at **Shortcut**. Press exactly that shortcut, or choose a different one from the menu. On a keyboard with a Microphone key in the function row, press and release it; holding it starts Siri.
4. Check **Microphone source**. Choose your microphone by name instead of Automatic.
5. Open System Settings → Sound → Input, speak, and raise the input volume if the level barely moves.
6. Check **Languages**. Click Edit and make sure the language and region you speak are ticked.
7. Read the small text under the Dictation switch. If it does not say your dictation is processed on the device, you need an internet connection: check System Settings → Network.
8. Click into a text field before you start. Dictation types where the cursor is, and does nothing if there is no cursor.
9. If the Dictation switch is greyed out, the Mac is restricted: see Screen Time and work restrictions below.

If none of that helps, restart the Mac and try again in a plain app such as Notes.

The steps are in order of how often each cause turns out to be the answer, and each takes a few seconds to rule out. The table matches what you see to the likely cause. Every fix is from Apple’s own support pages.

## Voice Control and Dictation cannot both be on

This is the cause people find last, because the two features sound like the same thing. Dictation types what you say. Voice Control lets you run the whole Mac by voice, and it brings its own dictation with it.

Apple’s [Voice Control page](https://support.apple.com/guide/mac-help/use-voice-control-commands-mh40719/mac) says so directly: "When Voice Control is on, you use Voice Control to dictate text; standard macOS Dictation isn’t available." If you only want to type by voice, turn Voice Control off in System Settings → Accessibility → Voice Control. [Voice Control vs Dictation](https://flit.fyi/voice-control-vs-dictation-mac) sets the two side by side.

## The shortcut is not the one you think it is

There is no single dictation key. [Apple’s Dictation page](https://support.apple.com/guide/mac-help/use-dictation-mh40584/mac) gives three ways to start: the Microphone key in the function row if your keyboard has one, the Dictation shortcut, or Edit → Start Dictation in the menu bar. The shortcut is whatever the Shortcut menu in Keyboard → Dictation says, and you can choose Customize there to set your own.

The menu item is the quickest test. Click into a note and choose Edit → Start Dictation. If that works, Dictation is fine and only the shortcut is wrong.

[The dictation shortcut guide](https://flit.fyi/mac-dictation-keyboard-shortcut) has every way to start and stop. The Globe key is a special case. It has its own setting, "Press 🌐 key to", which can be set to change the input source, show emoji, start dictation, or do nothing. [The Globe key guide](https://flit.fyi/globe-key-opens-emoji-picker-mac) covers it.

## The microphone

Apple’s [troubleshooting page](https://support.apple.com/guide/mac-help/mchlc480652b/mac) spends most of its list here. Choose the microphone under Microphone source; on Automatic, the Mac listens to the device it thinks you are most likely to use, which is not always the one in front of you. A Mac with no built-in microphone, such as a Mac mini or a MacBook with the lid closed, needs an external one connected and selected.

Then the basics Apple lists: raise the input volume in Sound → Input, keep the microphone clear of clothing, speak at a normal volume, and cut background noise. It adds that a headset microphone may help.

Bluetooth headphones are worth a note. Apple’s [page on Bluetooth sound quality](https://support.apple.com/en-us/102217) explains that when an app uses the headphones’ microphone, Bluetooth switches to a mode with reduced audio quality. If dictation through AirPods is poor, try the Mac’s own microphone.

## When dictation needs the internet

Some dictation is processed on the Mac and some is sent to Apple. Apple’s [privacy page](https://www.apple.com/legal/privacy/data/en/ask-siri-dictation/) says Keyboard settings will indicate whether your audio and transcripts are processed on your device; otherwise they are sent to and processed on Apple’s servers. Which one you get depends on the Mac and the language.

So read the small text under the Dictation switch. If your dictation is sent to Apple, it stops working when the connection does.

## Screen Time and work restrictions

If the switch is greyed out, something is restricting it. On a personal or family Mac that is Screen Time: open System Settings → Screen Time → Content & Privacy, then Intelligence & Siri, where [Apple lists "Siri & Dictation"](https://support.apple.com/guide/mac-help/change-intelligence-siri-settings-screen-time-mchl1885610b/mac) among the things that can be turned off. A family organizer can set this for a child’s account.

On a Mac managed by an employer or school, an administrator can turn dictation off altogether, and only they can turn it back on.

## If you want more than Dictation does

Flit is a separate dictation app, not a fix for Apple’s. You hold a key, speak, and let go, and text that is already punctuated and formatted lands where your cursor is.

- One gesture: hold a key to talk, release to finish. Nothing to start and stop.
- Everything runs on the Mac, so it works without a connection in every language it supports.
- It does not stop when you pause to think while the key is held.
- Finished text: punctuation, paragraphs, lists and numbers, in the tone of the app you are in.
- Its own microphone setting, in Settings → General.
- Flit is free for 7 days with every feature on, then $19 once, with no account and no subscription.

Good to know

- Apple’s Dictation is free and already on your Mac. If it does what you need, you do not need Flit.
- Flit runs on a Mac with Apple silicon and macOS 14 or later, and its voice model is a download of about 0.5 to 2.3 GB that you choose once.
- Flit’s spoken commands, such as "new paragraph", are in English today.

## Questions people ask

### Why is dictation not working on my Mac?

The usual causes are that Dictation is off, Voice Control is on, the shortcut is different from the one you are pressing, or the wrong microphone is selected. All but Voice Control are in System Settings → Keyboard, under Dictation.

### How do I turn on dictation on a Mac?

Open System Settings → Keyboard, scroll to Dictation, turn it on and click Enable. Then click into a text field and press the shortcut shown there, or choose Edit → Start Dictation.

### What is the keyboard shortcut for dictation on a Mac?

It is whatever the Shortcut menu in System Settings → Keyboard → Dictation says, and you can change it there. On keyboards with a Microphone key in the function row, pressing and releasing that key starts dictation.

### Does Mac dictation need the internet?

Sometimes. Keyboard settings says, under the Dictation switch, whether your dictation is processed on the device. If it is not, it is sent to Apple and needs a connection.

### Why is the Dictation option greyed out?

It is restricted, either by Screen Time (Content & Privacy → Intelligence & Siri → Siri & Dictation) or, on a work or school Mac, by an administrator.

### Is there an app that is better than Mac dictation?

It depends on what you need. Flit is a local dictation app for Mac that types finished, formatted text into any app while you hold a key, and runs entirely on the Mac. Flit is free for 7 days with every feature on, then $19 once, with no account and no subscription.
